Integrating Electric with Third-Party Services for Streamlined Onboarding and Offboarding

To provide full end-to-end service, Electric pursued partnerships with HRIS platforms like ADP to simplify the onboarding and offboarding processes for employees. By integrating HR systems with IT workflows, we aimed to streamline the deployment and recovery of software and hardware—enabling a seamless experience that connected HR and IT processes efficiently.

My Role: Designing a Flexible Interface for Employee Provisioning and Deprovisioning

I was tasked with redesigning the onboarding and offboarding workflows to allow new hire and exit data from platforms like ADP Workforce Now to flow directly into Electric. This integration enabled companies using ADP to not only purchase and configure hardware for new employees but also reclaim or reset devices during offboarding. My role centered on creating an interface that supported these seamless connections with third-party applications, enabling efficient data transfer across HR, payroll, and employee management tools. This improved workflow efficiency and enhanced the overall employee experience throughout the hiring and exit process.

Validating Hypotheses with a Lean MVP Approach

Before investing heavily in designing the onboarding experience, my product owner and I collaborated with internal HR admins, conducting interviews to clarify the specific needs of HR processes—a newer area for our team. While we had experience with IT workflows, understanding HR practices required further exploration. Our HR admins, well-versed in various HRIS systems, helped us identify commonalities in new hire forms and processes. This enabled us to map out workflows effectively and understand department mappings, organizational structures, and their impact on access and hardware selection. We also learned the importance of aligning our employee profiles with HRIS standards to treat them as a reliable source of truth.

The solution needed to be flexible enough to accommodate different onboarding scenarios—whether provisioning a device, configuring application access, or both. Additionally, the system would need to intelligently assign available devices from storage when new purchases weren’t necessary.

User Research and Task Analysis: Streamlining IT and HR Automation for Onboarding and Offboarding

I designed an onboarding flow with HR needs in mind, embedding business logic to streamline the hiring process and reduce the downtime between a new hire’s first day and full productivity.

By mapping departments to the ITHub platform, we enabled admins to set up default applications by team, simplifying configuration. Based on the employee’s department, Electric would trigger a series of tasks for the relevant admins to complete setup. Additionally, my team leveraged employee demographics to tie address information to hardware procurement, with the flexibility to assign devices from existing stock or purchase new ones as needed.

This workflow was designed to support both onboarding and offboarding, allowing for efficient device retrieval and account termination when employees exit, ensuring a seamless lifecycle experience.

Insights from Testing: Enhancing Prompt Quality, Discoverability, and Integration Compliance

Designing for third-party marketplaces required close adherence to partner standards. Collaborating with ADP, my team ensured that our integrations were both secure and compliant, and we carefully aligned workflows to respect partner brand guidelines. Once these requirements were met, we received marketplace approval and successfully rolled out the integration to our existing customers, enabling seamless employee data synchronization and automated on/offboarding tasks.

Given that many organizations rely on multiple applications and systems for HR functions, integrating two disparate systems and creating a unified approach to human capital management became a strategic advantage. This integration allows us to meet evolving customer needs, delivering a streamlined and adaptable solution for today’s complex HR environments.

To Infinity and Beyond: Designing a Scalable, Industry-Ready Solution

Our initial research enabled us to tackle this business problem with a broad, adaptable approach, resulting in a solution compatible with a wide array of HCM applications. By keeping our design task-based and modular to fit specific customer needs, we avoided creating a rigid, bespoke solution that would require extensive retrofitting for each new partnership.

Integrating with an industry leader like ADP and meeting their rigorous marketplace standards not only validated our solution's security but also demonstrated to potential partners our capability to deliver scalable IT solutions. This integration sets a precedent for future collaborations and establishes our platform as a reliable, adaptable choice in the HR and IT management space.
